What Inspection Records Should Be Kept for a Tensile Membrane Structure During Use?

Whether a warranty claim on a tensile membrane structure goes smoothly depends largely on whether you hold continuous, complete inspection records. A warranty is not a single promise: warranties for the membrane fabric, the steel structure and other items run separately as agreed in the contract, and deciding whether a problem comes from materials, fabrication and installation, or from use relies on day-to-day records. This article sets out, item by item, what records owners and facility managers should keep — covering inspection items, frequency, filing methods and the warranty review process.

Who do you contact when a problem appears?

During the warranty period, report issues to the warranty-responsible party named in the contract. Put this in writing in the contract; do not rely on verbal commitments. This gives daily records their second purpose: they are both the evidence you use to describe a problem when reporting it, and the basis for assigning responsibility under the separate warranty items. Membrane issues go to the membrane warranty provider; steel issues go to the steel warranty provider. If your records clearly state the location, time and symptoms, the process moves much faster.

What should routine inspections record?

We recommend a record checklist organised under four items:

At each inspection, tick each item or write a brief note — do not just write "normal." The membrane fabric warranty is typically 5 years; over those 5 years, records of tension changes and damage on the membrane surface are especially important, because they are the key evidence for distinguishing a material defect from external impact damage.

How often, and who signs?

As a general rule: inspect routine carports and canopy structures once a month; after strong wind, heavy rain or heavy snow, carry out one additional targeted check focused on membrane tension and drainage. The record sheet should be signed by the inspector with the full date. On managed sites, have facility engineering staff perform the inspection and a responsible supervisor review and countersign periodically. Signatures are not a formality — during warranty review, records without a signature or date carry very little weight.

Which abnormalities must be photographed and reported immediately?

If you find any of the following, do not wait for the next routine inspection. Photograph on the spot, record the date and location, and contact the warranty-responsible party under the contract:

  1. Any hole, tear or rapidly growing scratch in the membrane;
  2. Clearly abnormal membrane tension — large-area slack or unexpected ponding on the membrane;
  3. Visible deformation of steel members, cracked welds or impact damage;
  4. Blocked drains causing water to pond on the membrane;
  5. Loose or displaced connection hardware at the nodes.

Photos should include a reference object and a wide view showing the location and extent — this makes later review and responsibility assessment far easier.

Who reviews the records during the warranty period?

Submit them for review to the warranty-responsible party specified in the contract: membrane issues through the membrane supplier's warranty channel, steel and fabrication/installation issues through the contractor. Note that on-site review means review at the project site — it is not a promise of overseas field service, and the scope of any maintenance you delegate to us should be agreed in advance. Before review, do not repair or re-tension the membrane yourself; changing the site condition can affect the assessment.

Do inspection priorities differ by membrane type and structure?

  • PVC membrane: common on standard carports. Focus on membrane tension, surface staining and damage; where self-cleaning performance is modest, tie inspections into the cleaning plan.
  • PVDF and PTFE membranes: typically used on upgraded projects with higher demands on self-cleaning and service life. Tension and nodes remain the focus, but surface condition changes more slowly, so weight your checks toward nodes and drainage.
  • Large-span or complex-shaped tensile structures: with many membrane zones, record each zone separately — do not judge by overall appearance alone.
  • Steel in humid or corrosive environments: inspect corrosion and coating more frequently than on standard projects.

Filing recommendations

Keep one paper record set and one set of digital photos, filed by "project name + date," and do not destroy them during the warranty period. On service life: under normal use and maintenance, a tensile membrane structure carport generally lasts 10–15 years — and that lifespan depends precisely on routine inspection and timely maintenance. Complete records mean problems are found early, and the structure lasts longer.
